Vasudha Foundation is a not for profit organisation working in the clean energy and climate policy space. Vasudha Foundation has a FCRA registration with the FCRA Department of the Ministry of Home Affairs and also has as 12A and 80G registration under the income tax act. 

Vasudha Foundation works on multiple projects, funded by various philanthropic organisations. 

The organisation is looking for a mid-level Event Management and  Logistics Officer.

Purpose: 

Vasudha Foundation seeks to hire a suitable candidate for the position of Event management and logistics officer.  This is a new position that has been created to support the growing programmes of the organisation.  The incumbent will be responsible for duties as highlighted below:

A. Provide support to the programme team in organising programme events: 

  • Mapping of potential location for organising the events
  • Identifying the idea venue for the event based on various factors.
  • Negotiation of rates for the venue
  • Planning and coordinating the event logistics

B. Manage the entire travel needs of staff and Guests:

  • Providing ticketing options including organising quotations etc
  • Organise the tickets

C. Manage accommodation requirements of staff and guests:

  • Research and prepare a database of hotels for staffs and guests for both frequently travelled cities as well as other locations
  • Negotiate and put in place corporate arrangements for accommodation of staff and guests in key hotel chains across India

D. Vendor Management:

  • Research and create databases of vendors for a wide range of services required for seamless programme implementation and organisation needs
  • Have a ready reckoner of rates for various services
  • Check and validate credentials and testimonials of potential vendors and create a shortlist of vendors
  • Ensure receipt of adequate quotations from vendors for various services

E. Office Management and Procurement:

Vasudha Foundation has offices in Bangalore, Delhi, and Lucknow.  Each of the offices have full time staff, ranging from 10 to 70 in each of the offices.  The office management and procurement requirements could range from:

  • Ensure that systems are put in place for office upkeep
  • Line Manage all support staff in each of the offices
  • Ensure the maintenance of inventory of daily office upkeep needs and ensure timely procurement of daily office upkeep needs

F. Track and maintain Staff travel:

  • Checking and vetting of all documents related to staff travel reimbursement and giving the go-ahead to finance to process the reimbursements
  • Ensure that all expenditures are within the stipulated levels as mentioned in the travel and other related policies of the organisation

Required Competencies
  • The ideal candidate would have strong communication, and negotiation skills. 
  • Should be well versed with legal or contractual language and would have the ability to read the fine print. 
  • Minimum experience required 4 to 5 years
  • Strong working knowledge of the travel industry. While experience of working with the travel or hospitality industry would be an advantage, it is not essential.
  • Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
